Offboarding Policy

This policy applies to all clients hosted or managed under Creative Yadley’s services.

Step 1: Initiation of Offboarding

• Clients must notify Creative Yadley of their intent to move their hosting via a support ticket at least 7 days before the planned transition.
• We will acknowledge the request and provide a timeline for the offboarding process.

Step 2: Account Review

• We will verify the client’s account status, ensuring all outstanding balances are cleared.
• We check if the client has unresolved technical issues or ongoing projects and provide a resolution timeline.

Step 3: Final Data Preparation

• We create a full backup of the website, databases, email accounts, and any other relevant files.
• We verify and document the state of the website, including:
  • Malware/Virus Scan Report: Conduct a final scan using industry-standard tools and share the report with the client.
  • Uptime and Performance Logs: Provide a record of the website’s uptime and performance over the past 30 days. This is only applicable to websites under our Website Management service.

Step 4: Migration Support

• Share the backup files securely with the client.
• Offer guidance on transferring DNS, email configurations, and SSL certificates.
• Confirm when the DNS changes have fully propagated.

Step 5: Termination of Services

• Revoke access to Creative Yadley’s resources, including control panels, Client Area, Cloudflare configurations, and backups.
• Retain data on our servers for 14 days post-offboarding to accommodate potential errors.
• After 14 days, data will be permanently deleted.

6. Addressing Disputes or Misrepresentation

6.1 Malware and Virus Claims

• Creative Yadley will provide a final malware scan report and security log as evidence of the site’s condition at the time of offboarding.
• If a client disputes the findings, an independent third-party scan can be conducted at the client’s expense.
• Documentation of the website’s health will be kept for 30 days post-offboarding for reference in case of disputes.

6.2 General Misrepresentation

• Any false claims about Creative Yadley’s services will be formally documented. We reserve the right to escalate disputes via legal channels if necessary.

7. Security Measures

• All passwords and API keys associated with the client’s services will be reset or revoked after the migration is confirmed.
• No files or backups will be shared until verification of the client’s identity and authorization to initiate offboarding.

8. Final Client Acknowledgment

Upon completion, clients will receive a formal acknowledgment of the offboarding, confirming the following:

• All requested files and data were delivered.
• Hosting and associated services were terminated.
• Creative Yadley bears no further responsibility for the website’s maintenance or functionality.
